Our calculators apply widely used catering quantity rules — drinks per hour, food weight per guest, ice per cooler-hour. Real events vary with guest mix, weather, menu richness, and how long the cheese plate sits next to the dance floor.

If you serve alcohol, you are also responsible for it: plan non-alcoholic options in equal measure, feed your guests, watch for over-consumption, and arrange safe rides. Quantities here are hospitality estimates, not permission slips.

Accuracy of calculations

We implement well-known, publicly documented formulas (see the methodology section on each calculator page and standard catering-industry quantity guidance as applicable). Even correctly implemented formulas produce estimates that depend on your inputs and assumptions. Real-world outcomes vary. Do not rely on a single web tool for a consequential decision.
